Refurbishment Workflow

Refurbishment Software for Device Recommerce

A refurbished device passes through four hands before it is sold: the buyer, the bench, the grader and the reseller. Each hand keeps its own record, and the gaps between them are where margin and evidence disappear.

Refurbishment Software

Refurbishment is usually described as a device problem, but it is a handover problem. The device is tested in one system, graded in a spreadsheet, bought in another tool and sold through a marketplace that knows none of it. Every handover loses context.

Why refurbishment needs one workflow

The commercial value of a refurbished device depends on what is known about it. A tested, graded and documented phone sells for more than an untested one because the buyer is paying for certainty as much as hardware.

That certainty is built in stages. Buyback captures the seller, payment and intake condition. Testing captures the hardware. Grading converts the evidence into a condition band. Disposition decides whether the device is resold, harvested or recycled. Each stage adds information that the next stage needs.

When the stages sit in separate tools, the information is retyped or lost. The buyer then receives a grade with no test evidence, or a test report with no commercial context. One workflow fixes that without forcing every stage to be built at once.

Choosing the first module
01
Start with test if returns are high, grades are disputed or technicians test inconsistently.
02
Start with grade if tests already exist but the label depends on who is on shift.
03
Start with buy if prices change too often, pickups are manual or payouts are hard to reconcile.
04
Start with dispose if clients demand erasure evidence and destination reports that take days to assemble.
The four stages: test, grade, buy and dispose

The order is deliberate. Testing produces evidence, grading turns evidence into a condition, buyback and ITAD handle the commercial relationship, and disposition closes the loop.

Most refurbishers start at test because it is the stage they already do. Buyback-led businesses start at buy. ITAD firms start at dispose. The right entry point is the stage that currently leaks the most money.

StageCore questionPrimary output
TestWhat works and what does not?Hardware readings and a test report
GradeWhat condition is the device in?A rule-based grade with findings
BuyWhat will we pay or charge?A quote, payout or handling invoice
DisposeWhere does the device go?Resale, parts, recycle or destruction evidence
What each stage hands to the next

Test hands over a device identity and a set of readings. The identity must be stable across stages, which means the serial number or IMEI is the key, not the order number.

Grading hands over a condition band, the findings behind it and the rule version used. Buyback and ITAD hand over a commercial record: who paid or was paid, how much and on what basis. Disposition hands over the final destination and the evidence attached to it.

If any stage cannot accept the previous stage's output, the workflow has a broken handover. That is the first thing to fix, before adding another module.

How the pieces fit together

CoreInspect covers testing and grading for mobile and laptop devices. The buyback platform covers quotes, pickup, verification and payout. The ITAD platform covers intake, custody, erasure evidence and disposition reporting.

They can share a device catalogue, a grade standard and a party record while keeping their own workflows. A refurbisher that buys from consumers and sells to businesses may need all three. A business that only retires its own equipment may need ITAD and testing, not buyback.

The shared layer is deliberately small: device identity, grade rules, parties and evidence. Everything commercial stays in the stage that owns it, which keeps each module understandable.

What a hub page can and cannot promise

This page explains how the stages connect and helps a business choose an entry point. It is not a single product that replaces the module pages, and it does not claim that every refurbisher needs every stage.

The honest scope is a workflow with four optional parts. A small refurbisher may run testing and grading only, sell through a marketplace and never touch buyback software. A larger operator may need all four because the handovers are where the cost sits.

Use the module pages to price the part you need, then decide whether the shared identity layer is worth building now or after the first module proves itself.

Start with the stage that leaks money

If devices come back because the grade was wrong, fix grading. If devices sit in the warehouse because nobody knows what was paid, fix buyback. If clients chase erasure certificates, fix disposition. The workflow can wait; the leak cannot.

Frequently Asked Questions
It connects the stages of device recommerce: testing, grading, buyback or ITAD intake and final disposition. The aim is one device identity across the workflow instead of four disconnected records.
The stage that currently loses the most money. High returns point to testing or grading, slow payouts point to buyback, and client audit requests point to disposition.
Through a stable device identity, usually the serial number or IMEI. Test readings, grade findings, commercial terms and destination evidence all attach to that identity.
Yes. CoreInspect testing and grading sit at the centre of the workflow, and their output can feed the buyback and disposition stages without re-entry.
No. This page explains how the stages fit together. Scope and pricing for each stage sit on its own module page.
The diagnostics and grading layer starts from Rs 30 per device tested. Buyback platforms start from Rs 2,00,000 and ITAD platforms from Rs 3,00,000, each quoted as a separate project.
They can share a device catalogue, grade rules and party records while keeping distinct commercial workflows. Buyback pays a seller, while ITAD bills a client for handling.
Serial or IMEI, model, accessories, cosmetic condition, photographs, seller or client details and the agreed price or handling terms. Missing identity is the most expensive gap to fix later.
A single module usually takes six to twelve weeks. Connecting two modules through a shared identity layer adds four to six weeks depending on the volume of historical data.
No. It is built for refurbishers, buyback businesses and ITAD firms that process devices in batches. Repair job tracking is a different workflow and is not part of this scope.
