Every trade says the same thing at the start: “we only need billing and stock”. Six weeks later the same business is asking why the software does not know that a batch expires, that a scheme changed, or that a guard was replaced mid-shift. This table prices the first honest module for forty-two trades, and names what usually comes next.
The price table, by industry
Figures are the entry module, not the finished system. Each row links to the page that breaks the build into modules with their own ranges.

Why a bakery and a courier network are ten times apart
The bakery sells a product it made this morning to a person standing at the counter. One bill, one payment, one stock deduction.
The courier sells movement. A parcel is picked up at one branch, sorted at a hub, carried to another city, handed to a rider, delivered or returned, and paid for days later by a client who deducts a claim. The software has to know where the parcel is at every step, who is responsible when it is lost, and how much each branch is owed.
Same category of product. Very different amount of state to keep.
Three tiers that explain every row
Below about Rs 1,00,000, you are buying a counter: billing, stock and a report. The system serves one location and one person at a time.
Between Rs 1,00,000 and Rs 2,00,000, you are buying a schedule. Appointments, shifts, batches, folios or contracts become the centre of the model, and the day is planned from the software rather than from a register.
Above Rs 2,00,000, you are buying reconciliation. Money or material leaves the building and comes back changed, and the system’s job is to prove where the difference went.
Nearly every quote becomes defensible once you say which tier the business actually needs.
What to check before accepting an entry figure
Ask which modules are inside. The entry price for a hotel is reservations and folio; housekeeping, restaurant billing and banquet are not included and roughly double the build.
Ask how many locations. A second branch is rarely a licence switch, because stock, staff and reporting all become shared problems.
Ask what happens at month end. If the software cannot produce the statement the accountant already expects, someone will rebuild it in a spreadsheet and the system loses its authority.
Ask who owns the item master. Duplicate item codes are the most common reason a new system is abandoned in month three.
Where these projects go wrong
The recurring failure is buying the finished system in one step and discovering the workflow was never agreed. The second is customising the entry module until it becomes an unmaintainable special case, when the honest answer was to scope the second module properly.
The third is migration. Historical balances, open orders and running contracts have to arrive with the right opening values, and that work is usually a fifth of the budget. It is also the part most often cut to fit a number, which is why the first month of live use is spent reconciling.
FAQ
Why is the entry price for a hospital similar to a small hotel? Both start with a front desk and a guest record. The hospital climbs much faster because clinical records, wards and discharge summaries carry regulatory weight.
Can we start with spreadsheets and add software later? You can, and many businesses do for a year. The cost of waiting is paid in duplicate item masters and numbers nobody trusts, not in the software price.
Is a subscription product cheaper than a custom build? For a standard trade it often is in year one. It stops being cheaper when your workflow is the reason you compete, because then you are paying to work around someone else’s model.
How long does an entry module take? Four to ten weeks for most trades, including data setup and a fortnight of parallel running.
Do these prices include hardware? No. Billing counters, weighing scales, printers and biometric devices are quoted separately and are usually bought directly.
