Asset Software Cost

Asset Management Software Cost in India (2026)

Asset software is priced by the number of records it must keep honest. A register for one office is a small build. A register that reconciles depreciation across sites, entities and auditors is a different project with a different number.

Share your requirement, current setup, and expected timeline. We will help you scope the right service approach quickly.

Module ranges for 2026, from register to ERP reconciliation
First release usually lands between Rs 1,50,000 and Rs 4,50,000
Tagging hardware, hosting and support shown separately
Ranges are low to high and exclude GST.Each row is a module, so the first two can be bought without the rest.

Asset Management Software Cost

The cost of asset management software follows the number of decisions the register has to support. A list of items with locations is cheap. A register that applies depreciation rules, records custody, reconciles a physical count and produces an audit pack is not.

Asset management software cost by module

The table below splits a build into modules and gives an indicative 2026 range for each. Most businesses buy the register, tagging and verification rows first, then add maintenance or integration once the count is reliable.

A first release built from the register, tagging and verification rows usually lands between Rs 1,50,000 and Rs 4,50,000. A multi-entity rollout with ERP integration and maintenance can reach Rs 12,00,000, but that is a programme rather than an entry project.

ModuleIndicative rangeWhat it adds
Multi-site rollout and trainingRs 80,000 - Rs 1,80,000Site setup, role training and a second verification cycle
Disposal and write-offRs 1,20,000 - Rs 2,20,000Approval flow, sale or scrap evidence and register retirement
Asset register and taggingRs 1,50,000 - Rs 3,00,000Asset master, categories, codes, labels and import
ERP and accounting integrationRs 1,50,000 - Rs 3,50,000Supplier bills, asset capitalisation and depreciation journals
QR and barcode verification appRs 1,80,000 - Rs 3,20,000Phone-based scan, offline capture and exception reporting
Depreciation and transfersRs 2,00,000 - Rs 4,00,000Method per category, pro-rata rules, movement approvals
IT equipment and licencesRs 2,20,000 - Rs 4,50,000Serial-level records, assignments, warranties and renewals
Maintenance and work ordersRs 2,50,000 - Rs 5,00,000Schedules, vendors, parts, cost per asset and downtime
How a cost estimate is built
01
Count and classify: we list the asset categories, the number of active records and the fields each category needs.
02
Map the current process: purchase, tagging, assignment, transfer, verification and disposal are written down as they happen today.
03
Choose the first release: the modules that close the biggest accuracy gap are separated from the ones that can wait.
04
Price the integration: each external system is estimated with its mapping, test and failure path.
05
Add rollout: training, pilot count and support are costed as a line, not absorbed silently.
What moves an asset software quote

Record volume matters less than record variety. Ten thousand identical chairs are easier than two thousand items spread across forty categories, because each category brings its own fields and its own depreciation rule.

The second driver is the state of the source data. A clean export with serial numbers is a straightforward import. Five spreadsheets maintained by five departments is a reconciliation project before it is a software project.

The third is integration. Posting depreciation into accounting software, pulling purchase invoices or syncing employee custody from an HR system all require mapping, testing and a plan for what happens when the other system is unavailable.

Where a smaller build is enough

A single office with a few hundred items may only need a register, QR labels and a phone-based count. Depreciation can stay with the accountant and maintenance can stay in a calendar if the asset base is small.

Buying a packaged tool is also a valid answer when the categories are standard and the approval chain is simple. The custom build is justified when the register has to connect to a process that the package cannot express, such as tooling issued to production jobs or equipment billed to client sites.

What you pay after the build goes live

Hosting for a register of this size is modest, usually a few thousand rupees a month on a managed server or cloud instance. The larger recurring line is support and change work, which typically runs at 18 to 22 percent of the build cost each year.

Tag consumables are separate. QR labels cost a few rupees each, while RFID tags and readers vary widely by volume and range. Neither belongs inside a software quote, and a vendor that hides them there is making comparison harder.

If the system connects to accounting or HR software, budget for the other vendor's API or licence fees as well. Those charges sit outside our scope even when we build the integration.

How to compare two asset software quotes

Put both quotes against the same module list and mark what is missing. A lower quote that excludes data cleansing, training or the verification app is not cheaper; it has moved the work to your team.

Ask how depreciation changes are handled after go-live. Ask what happens to the register when an asset is split, merged or revalued. Ask who owns the data and how it can be exported. The answers separate a build from a lock-in.

Get a costed module list

Send the asset count, the number of sites and the categories you need to track. We will return a module list with ranges and a recommended first release, not a single lump-sum number.

Email [email protected] with the module list you need, or send the same details on WhatsApp. If the register is already in a spreadsheet, attach it; the structure tells us more than a description.

Module ranges run from Rs 80,000 for rollout and training to Rs 5,00,000 for maintenance and work orders. A typical first release with the register, tagging and verification app costs Rs 1,50,000 to Rs 4,50,000.
The asset register and tagging module, followed immediately by a verification run. Without a count that matches the floor, depreciation and maintenance reports are built on unverified data.
Usually because one quote excludes data cleansing, training, the mobile verification app or integration testing. Compare the module list line by line rather than the headline total.
No. QR labels, RFID tags and readers are consumables or hardware and are quoted separately. The software cost covers the tagging workflow, label templates and scan handling.
Support and change work typically run at 18 to 22 percent of the build cost each year. Hosting is separate and depends on the server or cloud plan you choose.
Yes. A single-site first release is the recommended starting point. It proves the register and the count before other sites add their own categories and exceptions.
It is a separate module because it carries method rules, pro-rata calculations, revaluation and journal export. The range is Rs 2,00,000 to Rs 4,00,000 depending on the number of methods and entities.
They are a separate module at Rs 1,50,000 to Rs 3,50,000. The work covers supplier bills, asset capitalisation and depreciation journals, plus the failure path when the ERP is unavailable.
GST, tagging hardware, third-party licences, cloud hosting, data cleansing effort beyond the agreed scope and any change requested after the module is signed off.
A scoping call is followed by a written module list with assumptions. The fixed quote covers that list; anything outside it is priced as a change request before work starts.
