Booking Software Cost

Booking System Development Cost in India (2026)

A booking system is a calendar with money and promises attached. The build cost follows the rules behind the calendar: who can book what, how long a slot is held, who pays, and what happens when the customer does not turn up.

Booking System Development Cost

Almost every booking business starts with a calendar and a phone. The system becomes worth building when two people can book the same slot, when a deposit has to be collected before confirmation, or when a booking has to reserve a room, a technician and a machine at the same time. The cost follows how many of those rules the software has to enforce.

Booking system cost by module

The table splits a custom booking build into modules with indicative 2026 ranges. A first release usually combines the booking page, calendar, reminders and payments; resource and partner modules follow when the operation needs them.

A simple booking page with manual confirmation can start from Rs 50,000. A first release that takes payments, enforces slot rules and manages staff calendars usually lands between Rs 2,00,000 and Rs 6,00,000. A multi-location platform with partner scheduling and integrations ranges from Rs 8,00,000 to Rs 18,00,000.

How a booking build is phased
01
Rule workshop: list what is booked, who books it and which conflicts must never happen.
02
Booking page: service catalogue, availability view and the first confirmation flow.
03
Calendar and holds: slot generation, buffers, capacity and the expiry rule for unpaid holds.
04
Money and messages: payments, deposits, reminders, cancellation and refund handling.
05
Operations: staff allocation, reporting, multi-location rules and partner access.
The rules that decide the build

Two booking systems with the same screens can cost very different amounts because the rules underneath are different. A salon books one stylist for one service. A clinic books a doctor, a room and a machine. A rental business books an asset for a date range and charges for damage after return.

Before screens, the build has to define what can be booked, who can book it, how availability is calculated, how long a hold lasts, what happens when two requests collide, and which changes are allowed after confirmation.

Those rules also decide the data model. A single service calendar needs far less than a resource calendar with buffers, travel time, capacity and blackout dates.

Where custom beats a subscription

If the business sells standard appointments and the workflow matches a ready product, a subscription is usually the cheaper answer. The appointment booking product from 24Bit System starts at Rs 999 a month and covers the common clinic, salon and service-team flow.

A custom build is justified when booking is part of the product being sold, when slots depend on inventory or contracts, when the business needs its own domain and customer data model, or when a marketplace has to settle payments between several parties.

The decision is not about size. A small business with unusual rules can need a custom build, while a large chain with standard appointments may be better served by a product and a careful rollout.

Payments, deposits and no-show policy

Money changes the booking flow. A free booking can be confirmed in one step; a paid booking needs a payment attempt, a hold, a confirmation and a failure path. Deposits add a refund rule, and refunds add a reconciliation problem.

The build should record the payment reference against the booking, not against the customer alone. That makes it possible to answer a dispute months later without matching a bank statement to a calendar by hand.

No-show policy is a product decision with a software cost. The system can send reminders, require confirmation, charge a fee or release the slot after a cutoff. Each rule needs an owner, a message and an exception path for regular customers.

Multi-location, partners and resources

A second location adds more than a branch filter. It adds separate opening hours, staff pools, service availability, tax rules and sometimes separate payment accounts. A partner network adds another layer: who owns the customer, who collects the money and who handles a cancellation.

Resource booking is the other common escalation. A room, a vehicle, a machine or a technician can be booked independently or as part of a package. The system needs to hold the resource for the whole service, including setup and travel, or the calendar will look free when it is not.

What the quote excludes

The ranges cover design, development, testing and launch support for the listed modules. They exclude GST, payment gateway charges, SMS and WhatsApp message costs, hosting, third-party calendar or CRM licences, and any change requested after a module is signed off.

Content, photography and service catalogue data are usually supplied by the business. If the catalogue has to be built or cleaned, that work is scoped separately rather than absorbed into the development estimate.

Booking system or appointment booking SaaS

Use the SaaS product when the flow is a standard appointment: a customer picks a service, a staff member and a slot, pays if required, and receives a reminder. Use a custom build when the booking has to follow inventory, contracts, multi-party settlement or a workflow that the product does not cover.

Read the appointment booking system page for the subscription product, or compare adjacent builds: salon software cost, travel agency software cost, equipment rental software cost and hotel management software development.

What to bring to a booking scoping call

Bring the current booking process, one week of real bookings, the cancellation and refund policy, and the number of locations and staff who will use the system. If a payment is collected today, bring the gateway statement or settlement report so the reconciliation rules are clear.

Write to [email protected] with the booking volume and the rules that cause the most manual work, or message the team on WhatsApp.
