A desktop that will not boot does not cost you the repair, it costs you the two days it sits on a bench. On a six to eight year old office machine the question is not whether it can be fixed, but which fixes are worth doing and which are just postponing the replacement.
The repairs that are always worth it
These are cheap, they extend life, and they are on a six-year-old desktop every bit as much as on a new one:
- Cleaning and fresh thermal paste. ₹800 to ₹2,500 with a fan check. The best-value job on any ageing machine, and overdue in most Indian offices.
- SSD instead of hard drive. ₹2,500 to ₹9,000 depending on capacity. A 2017 desktop on a hard drive feels broken; the same machine on an SSD feels new. See SSD vs HDD for a business machine before you pick capacity.
- RAM to 8 or 16GB. ₹1,500 to ₹6,000. Money spent here beats money spent on a faster processor.
- Power supply replacement. ₹1,400 to ₹4,500. Do it the moment the machine browns out on load, because a PSU that is dying takes the motherboard with it.
- Fan service and a dust filter. ₹600 to ₹2,000.
- Clean Windows reinstall. ₹800 to ₹2,500 if the machine is slow for software reasons and the hardware tests fine.
Add those up and a neglected six-year-old desktop can be made serviceable again for ₹8,000 to ₹20,000.
Where the money stops making sense
- Motherboard replacement on a machine older than six years. ₹4,000 to ₹12,000 buys a component that will outlive an old CPU, drive and RAM.
- Liquid damage on an old board. Corrosion under the display connector is a repair that works for months, then fails. Get the data off it, not a service on it.
- Two or three unrelated faults at once. That pattern means the machine is at the end of its useful life, not that it needs a big repair.
- Any fault on a machine that has already been repaired once and came back. Find out what was done before you pay a second person to redo it.
The downtime maths nobody does
A repair price is a one-off. Downtime is not, and on an office machine it is usually larger.
Take a ten-person office where one workstation dies. If the two people sharing it lose three usable hours a day at a loaded internal cost of ₹300 to ₹600 an hour, that is ₹1,800 to ₹3,600 a day of idle time, so a three-day repair “costs” ₹5,400 to ₹10,800 in waiting before you pay the technician. Plug your own numbers in and the answer changes for most machines.
This is also why cheap labour is expensive downtime. A shop that takes four days to fit a part you could have had next day is converting its delay into yours. If a machine will be out more than a day or two, desktop rental is often cheaper than arguing about the quote.
Dust, heat and the Ghaziabad summer
In May and June a closed Ghaziabad office regularly sits above 40°C, and a desktop in a wall cabinet with no fresh air intake runs its CPU and PSU at the top of their range continuously.
The escalation is consistent: hotter, fans louder and running constantly, CPU throttling visible in Task Manager, thermal paste dried out, then capacitors in the PSU and motherboard starting to cook. A machine that was merely slow in April is showing coil whine and random restarts by June. A yearly clean before summer costs less than one hour of an engineer’s time.
The other local factor worth naming is voltage fluctuation. Evening peak load in NCR drags supply down far enough that cheap PSUs and motherboards give up. If several machines misbehave at the same hour, suspect the supply before the hardware and get a stabiliser or a proper UPS installed.
What to ask for on an office machine
- A written diagnosis before anything is opened, and an estimate naming the part.
- A stated turnaround, and a call if it slips.
- A loan machine for anything past 24 hours.
- Data handling in writing: whether the disk is wiped and who does it. If a drive is making noise, ask about data recovery before anyone reinstalls Windows on it.
- Batch pricing if three or four machines need the same job. List the model numbers on the contact page and ask for a quote.
FAQ
Is a 6-year-old desktop worth repairing? Yes, if the faults are consumables. Cleaning, paste, a fan, an SSD and more RAM cost well under what a new desktop does. No, if the motherboard is the problem.
How long should a desktop repair take? Same day for a PSU, fan, RAM, storage or OS job if the part is in hand, two to five days for a motherboard or an ordered part. A shop that cannot tell you which before you leave the machine is guessing.
New power supply or new machine? A new PSU, if the motherboard is healthy. It is a consumable part, and replacing it early on an old machine is much cheaper than replacing the motherboard it killed.
Will cleaning the dust actually speed it up? Usually yes, noticeably, if the last clean was over a year ago. If the gain is marginal, the machine was not heat limited and the slowness is software or storage.
