Managed IT Cost

Managed IT Services Cost in India (2026)

An AMC fixes what breaks. Managed services try to stop it breaking: patching, monitoring, identity, backup and a helpdesk with a queue you can see. The pricing model changes with it, from per-device per year to per-user per month, and that shift is what confuses comparisons.

Managed IT Services Cost in India

A managed plan is a subscription to a set of recurring tasks, not a promise that nothing will fail. The value shows up in the tasks that never become incidents: patches applied, backups verified, accounts removed when someone leaves.

Managed IT services cost per user in 2026

The bands assume business hours support and a standard Windows or macOS fleet. Twenty-four-hour cover and regulated environments sit above them.

A thirty-user office on a standard plan pays roughly Rs 45,000 to Rs 75,000 a month. The same office on a per-device AMC might pay Rs 1,20,000 a year, which is why the two numbers are not directly comparable.

What a managed plan must include
01
Helpdesk with a queue. Ticketing, prioritisation and a response target, visible to you.
02
Patch and update management. Operating systems and common applications, on a schedule that is tested.
03
Endpoint protection. Antivirus, disk encryption and a policy for removable media.
04
Backup verification. Not just a backup job, but a periodic restore test with a report.
05
Identity and access. Joiner, mover and leaver processes, multi-factor authentication and admin hygiene.
06
Documentation. Network diagram, asset register and credentials held in a vault you control.
Where managed plans and projects divide

Moves, new office setups, server replacements, migrations and software rollouts are projects. A managed plan maintains what exists; it does not build new infrastructure. Contracts that blur this line end up with arguments about whether a migration was included.

Ask for a project rate card alongside the monthly plan, so small changes have a known price instead of a negotiation each time.

Measuring whether it works

Ticket volume per user, first-response time, resolution time and the number of repeat tickets for the same issue. A plan that fixes the same printer every week is not managed; it is reactive support with a subscription attached.

AMC or managed services?

Choose an AMC below roughly fifteen users, where the work is mostly break-fix. Above that, a managed plan usually costs less once patching, backup and security are counted honestly.

Questions for a managed provider

Ask which tools they will install and who owns the licences. Ask how they respond to a suspected ransomware event. Ask for the asset register and documentation on day one, not at the end of the contract.

Application delivery sits outside device support, and DevOps CI CD cost covers the pipeline and observability side of it.

Monitoring a network is not the same as testing it, and cyber security services cost sets out what the testing engagements add.

Handling personal data brings its own obligations, and DPDP Act compliance cost sets out what readiness involves.

Share your user count and current support model

Write to [email protected] with the number of users, devices, servers and sites, plus what you pay today, or send the same on WhatsApp. User count and server roles decide the per-user band.

Frequently Asked Questions
Essential helpdesk plans cost Rs 900 to Rs 1,600 per user a month. Plans with monitoring and backup range from Rs 1,500 to Rs 2,500, and security-focused or 24x7 cover runs from Rs 2,200 to Rs 3,800 and above.
The monthly fee is higher, but it covers more: patching, monitoring, backup verification and security policy. Compare the total cost of those tasks done separately before deciding that the AMC is cheaper.
Ticket-based helpdesk, patch management, endpoint protection, backup checks, identity and access administration, asset documentation and reporting. Projects and hardware are separate.
Around fifteen to twenty. Below that, the fixed cost of tooling and process outweighs the benefit and an AMC is usually better value. Above fifty users, in-house staff plus a managed provider often works well.
No. Office moves, server replacements, migrations and new site setups are quoted separately. Ask for a project rate card so small changes have a known price rather than being negotiated each time.
You should own the licences and the data, with the provider given administrative access. If the tools are in the provider's name, leaving them means losing your history and your security visibility.
Ticket volume per user, first-response and resolution times, repeat incidents and the percentage of devices compliant with patching policy. A monthly service review against those numbers keeps the contract honest.
The contract should define who isolates devices, who communicates and what the response clock is. Incident response is often a separate retainer, and it should be agreed before an incident rather than during one.
Yes, and it is common. Start with an asset audit and a patch and backup baseline, then move to the monthly plan. Starting with a clear inventory avoids paying per user for devices nobody can identify.
