An integration quote is usually a number without a shape. The useful question is not “what does a payment gateway cost” but “how far down the workflow does the connection have to go”. This table answers that for the connections Indian businesses ask for most.
The table, by integration type
Entry is a working connection for one business process. Full scope is the version that survives a bad month: failures handled, differences reconciled, exceptions queued.
| Integration | Entry | Full scope | What drives the climb |
|---|---|---|---|
| Payment gateway | Rs 30,000 | Rs 6,00,000 | Routing, mandates, refunds, settlement matching |
| Accounting software | Rs 30,000 | Rs 6,00,000 | Two-way sync, credit notes, multi-entity books |
| WhatsApp Business API | Rs 40,000 | Rs 7,00,000 | Shared inbox, chatbot flows, campaign analytics |
| Shiprocket | Rs 40,000 | Rs 6,00,000 | Rate rules, NDR workflow, COD remittance |
| Zoho CRM | Rs 40,000 | Rs 6,50,000 | Two-way sync, dedupe, quote and invoice logging |
| Delhivery | Rs 50,000 | Rs 7,00,000 | Reverse pickup, e-waybill, multi-warehouse routing |
| Biometric attendance | Rs 50,000 | Rs 6,00,000 | Shift rules, overtime, contractor labour |
| Marketplace | Rs 50,000 | Rs 8,00,000 | Multi-channel stock, returns, settlement reports |
| e-Invoice and GST | Rs 60,000 | Rs 8,00,000 | Credit notes, amendments, multi-GSTIN |
| Email and SMS platform | Rs 60,000 | Rs 8,00,000 | Journeys, consent, multi-brand sending |
| HRMS and payroll | Rs 80,000 | Rs 10,00,000 | Statutory deductions, arrears, bank files |
| Payment reconciliation | Rs 80,000 | Rs 10,00,000 | Fee and tax matching, exception queues, ageing |
| 3PL and logistics | Rs 1,00,000 | Rs 12,00,000 | Multi-courier routing, reverse logistics |
| ERP to eCommerce | Rs 1,50,000 | Rs 15,00,000 | Stock buffers, fulfilment, settlements |
What an integration fee actually pays for
Not the API call. The call is the easy part, and it is usually a day’s work.
The fee buys four things around it. Authentication and credential storage that will not leak. Error handling for the responses nobody documents. A record of every message sent and received, so a dispute can be settled. And a reconciliation step that proves the two systems agree at the end of the day.
Remove any of the four and you have a demo, not an integration.
The three levels every connection passes through
Level one: send and receive. An order goes out, a tracking number comes back. This is where most entry figures sit.
Level two: keep in step. Stock, price and status change in both systems without one overwriting the other. This needs a rule for who wins when they disagree, and that rule is a business decision.
Level three: prove it. Daily totals are compared, differences are queued, and someone can close the month without a spreadsheet. Most of the ceiling figures in the table are level three.
Which connections to do first
Order by what stops work when it fails, not by what looks impressive.
Payments first, because a failed payment is a lost sale in front of the customer. Invoicing and GST second, because a wrong invoice is a compliance problem. Shipping third, because a missing AWB is a support call. Everything else can wait for a quarter.
A business running on email can survive a CRM sync that is a week late. It cannot survive a checkout that fails silently.
Where integration projects fail
Three patterns. A connection built against a sandbox that behaves differently from production. A retry loop with no limit that duplicates orders during an outage. And an integration nobody monitors, discovered to have been quietly failing for three weeks.
All three are prevented by the same unglamorous work: logging, alerting and a reconciliation report. Ask for them by name in the quote, because they are the first things dropped when a budget is squeezed.
Reading an integration quote
Check whether the figure covers testing against the live environment, because sandbox behaviour is not the behaviour you will meet on a Monday.
Check who owns the credentials and the vendor account. If the developer holds them, you cannot change supplier without a fight.
Check what happens to messages sent while the connection was down. A queue that is never drained is worse than no queue, because it looks like it worked.
Finally, ask for one number: how many records were reconciled at the end of the first month. If nobody can answer, the integration is not finished.
FAQ
Why does the same payment integration cost different amounts? Because “integration” covers everything from a checkout button to marketplace payouts with settlement matching. The provider matters less than the depth.
Can we integrate without changing our accounting software? Usually yes, through file exchange if not an API. File exchange is cheaper to build and more fragile to run.
Is a third-party connector cheaper than custom work? For standard pairs it can be, and it is worth checking first. It becomes expensive when your process differs in one detail the connector cannot express.
Are platform charges included in these prices? No. Subscription or per-message fees are billed by the platform in your account, separately from our build fee.
How long does a level-two integration take? Three to six weeks for most pairs, with the reconciliation report taking the last week.
