Reconciliation Integration Cost

Payment Reconciliation Integration Cost in India (2026)

Every gateway settles a day or two after the sale, deducts a fee, and occasionally reverses a transaction weeks later. The business sees the sale immediately and the money later, and the gap between those two views is where revenue quietly goes missing.

Payment Reconciliation Integration Cost

Reconciliation is a matching problem with three sources: what the customer ordered, what the gateway charged and what the bank credited. The build cost depends on how many gateways, how many payment methods and how much tolerance the finance team accepts for unmatched entries.

Ingestion and a single-gateway match come first. They prove the matching rules before more sources are added.

A single gateway with one bank account usually costs Rs 1,50,000 to Rs 3,50,000 including fee handling. Marketplaces, multiple entities and several gateways sit in the top band.

What makes reconciliation expensive
01
Source formats. Each gateway and bank sends a different file, with different identifiers and different date conventions.
02
Fees and taxes. The settled amount never equals the order amount, so the fee and tax split has to be derived per transaction.
03
Refunds and partial captures. A refund can arrive in a later settlement, and a partial capture splits one order across amounts.
04
Timing. Authorisation, capture, settlement and credit happen on different days, and the match has to tolerate the lag.
05
Disputes. Chargebacks and holds need their own states, evidence and deadlines.
06
Volume. Manual resolution is fine at a hundred exceptions a month and impossible at five thousand.
Settlement timing across gateways

The same sale can appear in three files on three different days. A matching engine that runs daily and looks back several days is more reliable than one that assumes a fixed lag, because festivals, bank holidays and gateway cut-offs all move the date.

Reconciliation reports should therefore separate an unmatched entry that is simply young from one that is genuinely stuck. Ageing turns a list into a work queue.

Monthly fees that sit outside the build

Gateway charges are per transaction and unchanged by the integration. Some gateways charge for settlement reports or API access at volume. Bank statement feeds may require a paid service. The build replaces manual effort, not the underlying transaction cost.

Start with the exceptions, not the dashboard

The dashboard is easy; the exception queue is the product. Design what finance sees when a payment cannot be matched, who owns it and how long it may stay open.

Match on order or on transaction?

Both, in that order. The order is what the customer knows; the gateway transaction is what the bank settles. A rule that requires both to agree catches duplicates that a single-key match misses.

Questions for a reconciliation vendor

Ask how a refund that settles in a later cycle is matched. Ask how fee and tax are split per transaction. Ask what happens when a gateway changes its file format.

Send your gateways and monthly volume

Tell us which gateways and banks you settle with, the monthly transaction count and how exceptions are handled today, at [email protected], or send the same on WhatsApp. Source count and exception volume set the effort.

Frequently Asked Questions
Gateway and bank ingestion with a first match starts near Rs 80,000. Fee, refund and partial capture handling usually costs Rs 1,50,000 to Rs 3,50,000, while multi-gateway exception management ranges from Rs 3,00,000 to Rs 10,00,000.
Yes. One gateway, one bank account and a simple fee rule can be matched with ingestion and basic exception handling, which sits in the lower bands. Each extra source adds format mapping and matching rules.
File ingestion for gateways and banks, order and transaction matching, fee and tax derivation, refund handling, an exception queue, ageing reports, documentation and handover. Gateway transaction charges are separate.
The settled amount is compared with the order amount, and the difference is split into gateway fee, tax on the fee and any adjustment. That derivation has to be per transaction, because rates vary by method and volume.
Usually, if the refund references the original transaction. The complication is timing: a refund may settle in a later cycle, so the matcher must look back across several settlement files rather than only the current one.
A list of entries that could not be matched, with age, amount and probable cause. Finance works from it daily, and anything beyond a defined age escalates. Without it, unmatched money is found at audit.
Ingestion and first match take three to six weeks, fee and refund handling six to ten, exception management ten to sixteen, and multi-entity work fourteen to twenty-two.
It can, through a statement file or a bank feed where one is available. Bank narrations are messier than gateway files, so matching usually relies on amount, date and reference together.
You do. Rules are documented and configurable, and settlement data stays in your database. There is no per-transaction fee from us beyond the gateway's own charges.
