CRM Software Development Cost in India (2026)
A CRM is priced twice: once for the software and again for the discipline of using it. The second figure is what decides whether the pipeline is trusted in month three. The bands below separate configuration, migration, custom reporting and rollout, so a quote can be judged on what it actually buys.

Two sales teams of the same size can receive quotes a factor apart. The difference is usually the state of their data and the number of stages their managers argue about, not the number of screens. Reading a CRM estimate by stage is the only way to see which of those is being charged for.
CRM development cost by stage in 2026
A pipeline starter with leads, deals and basic stages occupies the Rs 9,999 to Rs 19,999 band and takes two to four weeks. A working sales system with forecasting, dashboards and mail sync runs Rs 19,999 to Rs 75,000 over four to eight weeks. Custom reporting and forecasting work sits between Rs 2,50,000 and Rs 5,50,000 across eight to sixteen weeks, and a multi-team rollout with integrations is quoted from Rs 8,50,000 upwards.
The jump between the second and third band is the one worth understanding. Until reporting becomes bespoke, a CRM is mostly configuration. Once a forecast has to reconcile with finance, or a commission statement has to be generated, the work becomes a small application with its own rules and tests.
At the entry price a team gets a place to record enquiries, move them through named stages and see a list of what is open. That is enough for a small sales floor replacing a shared spreadsheet, provided the stage definitions are settled in the first week. It is not enough for territory rules, dealer pricing or approvals.
Buyers often expect the starter band to include mail sync and mobile access because those features appear in every product demo. They are separate work, and each one adds authentication, error handling and a test path that has to be maintained.
Headcount alone does not set the price, but the number of distinct roles does. A sales manager who needs every territory, a rep who needs only their own, and an accounts user who needs invoices but no pipeline are three permission models, and each one has to be tested for what it cannot see.
Occasional users are the common trap. A director who opens the system twice a month still needs a working view, and building a read-only role is cheaper than buying a full seat for every person who might look. Decide the role list before the quote, not after the first invoice.
Moving a four-year-old workbook into a CRM is a cleaning project before it is an import. Columns disagree, company names arrive in three spellings, and two records often describe the same buyer. The estimate should name who resolves a conflict and how a merge is approved, because that decision is what stops history splitting in half.
Attachments, notes and closed deals matter as much as names and phone numbers. A migration that carries only the current pipeline leaves the first conversation with a returning customer invisible, which is precisely the moment a rep needs the record most.
Dashboards are cheap because they read data that already exists. A forecast is different: it applies weights, dates and stage rules, then has to agree with the number finance expects. Once two departments compare the same quarter and disagree, the fix is a specification rather than another chart.
Commission statements, renewal calendars and territory splits usually arrive in the same request. Each one encodes a business rule that changes at least once a year, so the build should keep those rules in configuration instead of hard-coding them into a report.
Year one carries the build and the migration. Year two is mostly change: new fields, a revised stage model, an integration somebody requested in a review. Year three is where an unmaintained system becomes expensive, because the person who configured it has usually moved on and nobody can explain why a rule exists.
Setting aside a support line from the beginning is cheaper than rebuilding the logic later. It also keeps the stage model honest, since a quarterly review catches the drift that turns a forecast back into an opinion.
CRM stage table for 2026
The rows below repeat the published bands from our CRM development service. Each stage is a scope that can be signed off before the next one starts.
| Build stage | Published range | Weeks |
|---|---|---|
| Pipeline starter | Rs 9,999 - Rs 19,999 | 2-4 |
| Working sales system | Rs 19,999 - Rs 75,000 | 4-8 |
| Custom reporting and forecasting | Rs 2,50,000 - Rs 5,50,000 | 8-16 |
| Multi-team rollout with integrations | Rs 8,50,000 and above | 16-48 |
Monthly instalments from Rs 999 are available on longer engagements. Every figure is confirmed in writing after a scoping call, once the role list and the migration volume are known.
Running costs that sit beside the build
- Hosting and backups, sized for the number of records rather than the number of users.
- Mail and calendar licences, which most businesses already hold.
- SMS or messaging credits for reminders and verification.
- Support hours for field changes, report edits and quarterly stage reviews.
Choosing between a custom CRM and a subscription
A subscription wins when the sales process is ordinary and the team is small. A custom build wins when territories, dealer pricing or a long approval chain make the standard object model fight back. The comparison has to use five years rather than one, because licence growth is slow and then sudden.
