Fleet Management Software Development in India (2026)

fleet management software development is decided at the gate: whether the vehicle due for service is sent out anyway, whether the driver's licence actually covers a heavy trailer, and whether the trip sheet matches the diesel filled on the highway. Most transporters run those answers across a dispatch WhatsApp group, a fuel diary and one manager's memory. 24Bit System builds fleet systems that keep them in one record, from dispatch through delivery to settlement. Our fleet management software development scope covers trips, drivers, fuel, maintenance and GPS, written down before coding starts. Call 7840002466.

Fleet Management Software Development

A truck earns money only when it is loaded and moving. Every hour in the yard, every avoidable workshop visit and every litre of unexplained diesel is a direct loss, yet most fleets measure those losses only at the end of the quarter. Fleet management software development turns them into daily numbers: which vehicle is idle, which trip is running late, which driver is close to a duty limit, and which route is quietly losing money per kilometre.

What fleet software must know before a truck leaves the yard

A dispatch decision looks simple from outside: match a load to a vehicle. In practice it depends on six facts that usually live in six places. Is the vehicle fit for the route? Is the driver licensed for that class and rested? Is the permit and fitness certificate valid? Is there an e-way bill? Has the consignment been checked against the invoice? Has the previous trip been settled?

The last question is the one most transporters skip, and it is the reason receivables age. A vehicle sent out before the previous trip's proof of delivery is collected often means two unsettled trips on one vehicle, and the second one becomes impossible to reconcile when the first is disputed.

Fleet management software development starts by making those checks a gate rather than a habit. A trip cannot be released until the vehicle, driver and documents pass, and the exceptions are visible to the manager who can override them with a reason.

The second foundation is the cost model. A trip is not profitable because the freight looks healthy; it is profitable after diesel, driver allowance, tolls, loading, detention and maintenance allocation. If those costs are captured per trip, pricing decisions stop being guesses.

Trip to settlement: the flow we build
01
Load and trip creation , with consignor, consignee, weight, route, expected distance and the freight agreed, including detention terms.
02
Vehicle and driver assignment , checking fitness, permit, insurance, licence class and rest hours before the trip is released.
03
Document pack , generating the trip sheet, e-way bill reference and delivery challan, with scans attached to the trip.
04
In-transit updates , from driver app checkpoints, GPS position and gate entries, so the control room sees delays before the client calls.
05
Proof of delivery and settlement , capturing POD, detention hours, fuel and advances, then closing the trip with a driver and client ledger.
Driver licences, duty hours and the compliance file

Driver records are the most neglected part of a small fleet and the most expensive to get wrong. We hold licence number, class, expiry, medical certificate, police verification and training, with an alert before anything lapses.

Duty hours are tracked from trip start to trip end, with rest periods recorded on multi-day routes. A driver approaching the limit is flagged at dispatch, and the manager can see who is available without calling each one.

Behaviour data matters commercially. Harsh braking, over-speeding and long idling, where the GPS provider exposes them, feed a driver score that can be tied to incentives. The point is not surveillance; it is a fair, documented basis for coaching and for insurance conversations after an incident.

Every document has a version history, so an inspection months later shows what was valid on the day of the trip rather than what is valid today.

Fuel, maintenance and the true cost per kilometre

Fuel is the largest controllable line in most fleets and the easiest to distort. We record fills against vehicle, odometer, station, litres and amount, then compare mileage with the route and load. A sudden drop is a signal: a leak, a metering fault, a route change or a fill that never reached the tank.

Fuel cards and fastag statements can be imported, which reduces manual entry and exposes mismatches between the card and the trip sheet. Cash fills remain possible but need a receipt photo and an approver.

Maintenance runs on both odometer and calendar. Preventive services are scheduled from the manufacturer interval, while breakdowns create a job card with parts, labour, vendor invoice and downtime. Cost per kilometre by vehicle and by route follows from those two ledgers, and it is the number that tells an owner which vehicle to replace.

Tyre and battery records are worth their own sub-ledger in heavy fleets: position, tread, rotation and retread history explain a surprising share of running cost.

GPS, e-way bills and proof of delivery

Most fleets already pay for a GPS provider. The fleet management software should consume that feed rather than sell another tracker. We integrate the provider's API for position, trip history and alerts, and keep the raw trail for disputes.

Geofences mark depots, client sites, tolls and restricted zones. Entry and exit events update the trip automatically, which removes a large part of manual checkpoint entry. When the GPS feed drops, the driver app continues to capture checkpoints so the trip record is never blank.

The e-way bill is generated or validated at dispatch, with the number stored on the trip and the expiry checked against the expected transit time. Proof of delivery is captured as a photo, a signature or both, with the receiver's name and timestamp; the client portal shows the same document, which shortens the payment conversation.

Owned, attached and marketplace vehicles

Few fleets are wholly owned. Attached trucks, marketplace capacity and broker vehicles all need to appear in dispatch with their own commercial terms. We model ownership type on the vehicle and a separate payable ledger for the vendor or owner.

Settlement rules differ: an owned vehicle settles driver allowance and fuel, an attached vehicle settles freight minus commission, and a marketplace trip may settle through the platform's own cycle. Keeping those rules explicit prevents the classic month-end argument about which trip belongs to whom.

Document compliance applies to attached vehicles too. A vendor whose insurance has lapsed should not be assignable to a load, and the fleet management system enforces that at dispatch rather than at audit.

Replacing the dispatch WhatsApp group

WhatsApp is excellent for conversation and terrible as a system of record. Messages scroll, photos expire and nobody can answer how many trips were delayed last week. We keep WhatsApp as a notification channel while the trip record lives in the fleet management software.

Drivers get a simple app or a missed-call flow for checkpoints, expenses and POD uploads, with offline capture for poor network stretches. The control room works from a live board, and the owner gets a daily summary of trips released, delayed, delivered and unsettled.

What fleet management software must show before a trip leaves

Fleet management software that only draws a dot on a map is a tracking tool, not a management system. The useful version answers three questions before dispatch: is the driver licensed and rested, is the vehicle fit and documented, and is the trip priced to make money.

Fleet software that holds driver expiry dates, permits, fitness certificates and insurance prevents the roadside penalty that costs more than the trip. The same fleet management software should block a trip assignment when a document has lapsed.

Fuel and trip settlement close the loop. When fleet management software compares issued fuel with distance run and the trip's agreed rate, a leak or an inflated claim becomes visible within the month.

What fleet management software development costs in 2026

Scope depends on fleet size, ownership mix, GPS provider and whether driver settlement is in scope. all amounts are in indian rupees and cover work delivered in any indian state.

ScopeIndicative rangeTypical duration
Vehicles, drivers and trip sheetsRs 3,50,000 - Rs 6,50,00010-14 weeks
Fuel, maintenance and cost per kmRs 6,50,000 - Rs 10,00,00014-20 weeks
GPS, e-way bill and driver appRs 10,00,000 - Rs 16,00,00020-28 weeks
Multi-branch fleet with vendor settlementRs 16,00,000 - Rs 25,00,00028-40 weeks

Milestones cover scoping, dispatch core, cost ledgers, integrations, then go-live. GPS subscriptions, e-way bill APIs, FASTag data and SMS credits remain third-party costs billed at actuals.

Rolling out without grounding the fleet

A pilot on one branch and ten vehicles is enough to prove the trip sheet and settlement before the whole fleet switches. We import vehicles, drivers, open trips and outstanding advances, then run the old register alongside the new system for two settlement cycles.

Driver training is deliberately short: checkpoints, expense capture and POD upload. Most resistance disappears when the driver sees that the settlement statement is computed from the same entries rather than argued at the counter.

Reports the owner checks daily

Vehicles idle, trips running late, trips delivered but unsettled, fuel variance, maintenance due, licence and permit expiries, and cost per kilometre by vehicle are the daily list. Weekly views add route profitability, client-wise detention and vendor payables.

Security, backups and device realities

The control room uses a desktop board; drivers use low-end Android phones with offline capture; owners check a mobile summary. Data is backed up nightly with a restore test, and GPS credentials are stored server-side rather than in the app. Support covers the first 60 days, then an annual plan.

Bring one week of trip sheets

One week of real trip sheets, fuel bills and settlement statements tells us more than a feature list. Send them to [email protected] or share photos on WhatsApp, and we will show where the current process loses money before any quotation is issued.

If the fleet is small and the paperwork is still manageable, call 7840002466 and describe the month-end settlement. That conversation usually identifies whether dispatch, fuel or maintenance should be built first.

Frequently Asked Questions
Vehicle and driver masters, trip creation and dispatch, document validity checks, driver app checkpoints, fuel and maintenance ledgers, GPS integration, e-way bill references, proof of delivery, driver settlement and client billing. The ownership types and settlement rules are agreed in writing before development.
A dispatch and trip-sheet system typically ranges from Rs 3,50,000 to Rs 6,50,000. Fuel, maintenance and cost-per-kilometre reporting bring it to about Rs 10,00,000, and GPS, e-way bill and a driver app take it to Rs 16,00,000. Multi-branch fleets with vendor settlement range from Rs 16,00,000 to Rs 25,00,000.
Yes, where the provider exposes an API or webhook feed. We consume position, trip history and alerts, and keep the raw trail for disputes. If the feed drops, the driver app continues to capture checkpoints so the trip record stays complete.
Yes. Ownership type sits on the vehicle, with separate payable terms for owned, attached and broker trips. Document validity is enforced for attached vehicles too, so a vendor with lapsed insurance cannot be assigned to a load.
From the trip's freight or allowance rules, minus advances, fuel issued and approved expenses. Detention and extra halts are added where the client terms allow. The driver statement is generated from the same trip record used for client billing, so both sides reconcile.
It stores and validates the e-way bill number at dispatch, checks expiry against transit time, and can connect to a GSP API for generation where the transporter has the required credentials. The reference stays attached to the trip and the delivery documents.
Yes. The driver view is a lightweight app or mobile web flow for checkpoints, expenses, fuel entries and POD photos, with offline capture that syncs when the network returns. It is designed for low-end devices and patchy highway coverage.
Vehicles, drivers and outstanding advances are imported first, then open trips with their documents and part-settlements. The old register runs alongside for two settlement cycles, and each trip is reconciled before the switch is declared complete.
Yes. Source code, database schema and deployment notes are handed over at completion, and fleet data stays in your database and cloud account. There is no per-vehicle licence fee, and future changes can be made by your team or under a support plan.
Fleet management software for a small fleet typically ranges from Rs 2,00,000 to Rs 6,00,000. Fleet software with GPS, maintenance and trip settlement ranges from Rs 6,00,000 to Rs 25,00,000.
Yes. Fleet management software can consume location feeds from GPS providers and show distance, idle time and route deviation against the planned trip.
Fleet software stores licence, badge, medical and training expiry dates, alerts before they lapse and blocks assignment when a document is invalid.
Fleet management software compares fuel issued, fuel purchased on the road and distance run, then flags variance per vehicle and per driver.
Fleet software calculates trip revenue from the agreed rate, deducts fuel, driver allowance and tolls, and shows the margin per trip and per vehicle.
Fleet management software schedules service by distance or date, records workshop bills and links each job to the vehicle history.
Fleet software stores permits and e-way bill references with the trip, and alerts when a permit or fitness certificate is due for renewal.
Yes. Fleet software shows vehicle availability, trips and costs by branch while the owner sees utilisation and margin across the fleet.
Fleet management software reports vehicle utilisation, trip margin, fuel efficiency, maintenance cost and document expiry, with fleet software comparisons by branch and month.
