Data Migration Cost in India (2026)

Every migration quote starts with record count and ends with reconciliation. The gap between those two numbers is where the budget goes, because old data is rarely as clean as the export suggests and the business rarely agrees on what a duplicate customer actually is.

Data Migration Cost

A migration is a data project with a software component. The software part moves records; the data part decides which records deserve to move. Skipping the second produces a fast migration into a system that trusts nothing.

Data migration cost by stage in 2026

Ranges assume a mid-sized dataset of fifty thousand to five lakh records with several source tables.

Below twenty thousand records a simple migration can be done in a few weeks. Above five lakh records, or where several legacy systems feed one target, costs rise sharply because exception handling multiplies.

How record volume changes the bill
01
Small sets. Manual review is feasible, so cleansing stays cheap and errors are caught by eye.
02
Mid-size sets. Rules must be automated, and the rules themselves need testing against samples.
03
Large sets. Performance, batching and restart logic become engineering problems rather than data problems.
04
Multiple sources. Each source has its own conventions, and matching records across them is the hard part.
05
Attachments. Documents, images and scans are often the largest volume and the least structured.
06
History. Transaction history multiplies rows and usually has the worst data quality.
Cleansing is usually the largest line

Duplicates, missing keys, inconsistent addresses and status values that meant something different in 2018 are normal. Someone has to decide the rule for each, and that someone is usually from the business rather than the technical team, which is why cleansing takes calendar time as well as effort.

A practical approach is to define three outcomes for every record: migrate as-is, migrate after correction, or archive. The archive pile is often large and is the cheapest way to reduce scope without losing history.

Reconciliation and sign-off

Control totals are the only credible proof that a migration worked. Counts, sums and balances should match between source and target before the business is asked to approve, and the reconciliation should be repeatable so a failed load can be re-run.

Sign-off belongs to the business owner of each data domain, not to the project manager. A migration approved by the technical team alone usually produces a month of corrections after go-live.

Profile the data before quoting

Run counts, null checks and duplicate checks on the real export. A quote based on table names rather than contents is a guess, and the guess is usually low.

Keep a rollback copy until sign-off

The source export should stay frozen and readable for at least a quarter after cutover. Corrections found in week three are much cheaper when the original is still available.

Questions for a migration partner

Ask how they handle a record that fails validation. Ask who decides merge rules for duplicates. Ask what happens if the reconciliation does not balance on cutover night.

Send the source, target and record counts

Write to [email protected] with the systems involved, approximate record counts and whether attachments or history must move, or send the same on WhatsApp. Source count changes the estimate more than volume.

Frequently Asked Questions
For fifty thousand to five lakh records, a full migration typically costs Rs 3,50,000 to Rs 17,00,000 across profiling, cleansing, load and reconciliation. Simple migrations start near Rs 75,000 and complex multi-source moves can reach Rs 25,00,000.
Partly. Volume matters, but source count, data quality and history depth matter more. Ten thousand clean records from one system can cost less than two thousand messy records from four.
Profiling, field mapping, cleansing and de-duplication, extraction and load scripts, trial runs, reconciliation and business sign-off. Source system access and downtime windows are usually your responsibility.
Because it requires business decisions rather than technical ones. Someone must define what counts as a duplicate, which address format wins and what to do with records that cannot be repaired. Those decisions take time and cannot be automated without rules.
Four to eight weeks for a straightforward single-source move, three to six months where several systems feed one target. Cleansing and reconciliation are the phases that stretch, not the load itself.
Usually only what the business needs to operate and report. Older history can be archived read-only at a fraction of the cost, and it removes years of poor-quality rows from the migration.
It is the comparison of counts, sums and balances between source and target. Without it, a migration is assumed correct rather than proven, and errors surface as customer complaints after go-live.
There should be a tested rollback: the old system stays available and the target is restored from a snapshot. That plan belongs in the scope, and it is cheaper than improvising at two in the morning.
You do, in both source and target. The contract should require a complete export at handover and should confirm that no copy is retained by the vendor beyond the agreed support period.
