Most businesses pick Google Workspace for Gmail, then spend a year finding that the storage model, sharing defaults and admin console all work differently from a free Gmail account. Here is the part that needs deciding.
The free-to-paid jump is bigger than the price suggests
Moving from free Gmail to Workspace is not just a plan upgrade. Four things change:

Practical guidance: for 15 people, Business Starter at 30 GB per user is enough if nobody stores video in Drive. The moment staff add scanned documents and design files, move to Business Standard — later it means only a bigger bill.
Gmail versus Outlook from a normal working day
Not a feature table. A day in the life.
Scheduling. Outlook’s calendar handles recurring meetings, multiple attendees and rooms more reliably. Google Calendar is faster for one-to-ones and simpler to share. If your team books client calls all day, Outlook has the edge.
Attachments and documents. Word and Excel round-tripping is clean on Microsoft; Google Docs files are awkward in desktop Office and vice versa. If your team opens the same file daily in both, you have a problem whichever suite you buy.
Spam and search. Gmail’s spam filtering is still the better of the two. Outlook’s has improved but still lets through more Indian-language promotional mail.
The honest tiebreaker. If anyone already uses a Microsoft 365 login personally and works in Excel all day, choose Microsoft 365; if your team is younger, more browser-based and collaborative, choose Workspace. Setup steps that matter
- Buy the plan through the Google Admin console, or an Indian reseller for GST invoicing and local billing.
- Add and verify your domain with the TXT record Google provides, which can take up to an hour.
- Add MX records exactly as listed. Until they propagate, mail still goes to the old server, and propagation takes longer than people expect.
- Turn on 2-Step Verification for every user from day one, before you invite the team. Retrofitting it generates more support tickets.
- Change the external sharing default to restricted. Shared drives default to anyone-with-link, which is how a salary sheet ends up on a public URL.
- Create shared drives for departmental files, so when someone leaves documents are not tied to their account.
- Assign a super admin who is not the owner. Google’s own recommendation; it prevents a single-person lockout.
- Set up an alias or group for the company address rather than making the founder’s personal account the public contact.
Common mistakes
- Sharing Drive files with “anyone with the link.” It bypasses your permission model, and the link can be forwarded and cached. Fix the default first, then grant exceptions.
- Storing everything in My Drive. Files in individual My Drives disappear when people leave. Shared drives solve this.
- Not setting an alias for the domain. You cannot create info@ later, and it is a five-minute fix during setup versus a week after.
- Ignoring the shared drive quota. Shared drive storage is separate from individual storage, and it is what runs out first.
